2013 Combined Officer, Enlisted, and Association Ball Committee Minutes/Notes

Purpose: To coordinate and facilitate efforts in conducting a combined NCNG (Association, Officer, and
Enlisted Ball) in or around the Spring 2013. To increase the awareness of and participation in the North
Carolina National Guard Association.
Guidance: Identify key tasks, identify the leads for the committee, solicit feedback from states that have
accomplished (Pros/Cons), and incorporate “outside the box” thinking to accomplish tasks.
Solidified Definition of a “Combined” Event
-Combined event was defined as all parties (Officer, Enlisted, NCNG Association) as one event,
one meal, one weekend based in part on the results of the survey posted to the Associations
Time Frame for Event
-Committee agreed the goal would be a Spring (April-May) 2013 event for planning purposes due
to “locking” in a location for the event.
Cost of Event
-Purpose is to not make money but to simply cover the cost of the event and rollover any
remaining funds as “Startup” capital for the following year’s event(s).
Cost of Event to Soldiers
-Committee favors a “Stair Step” registration, meaning cost of event would be cheaper for the
lower grades and would increase with Rank/Grade.
-Two Locations (Koury Center, Crowne Plaza) were discussed as possible locations, however
additional research for a suitable location will be discussed upon receipt of an approved COA.
Number of Participants for planning purposes
-Committee recommended using 1000 participants for planning purposes (this included number
of Soldiers/Airmen, Civilians, and spouses)
Enlisted Ball FY12 (Delay)
-Discussion by the Combined Ball Committee in regards to delaying the Enlisted Ball this year in
favor of a holding a combined event. Potentially the Enlisted Ball would be held in late fall or early
December. The plan to hold a combined event in Spring 2013 could quite possibly hinder the
attendance at one or both of the planned events.
North Carolina National Guard Association “Sponsorship” of the Event
-Discussion by the committee to possibly have the NCNGA “Sponsor” the event. Board members
thought this may be a way to streamline contracts, event registration, and collection of funds.
Further discussion was recommended by the committee.
Discussion concerning the potential use of an automated fund collection process (PayPal)
-The committee discussed the possibly of using an automated funds collection media such a
PayPal to collect the funds from event participants. The Enlisted Ball Committee has previously
used such media with a cost of 2,000+ dollars. Committee discussed the cost/benefits and
decided to hold off on further discussion until an approved COA was granted.
COA’s presented by the committee for review/consideration
#1-Combined event (as defined above) with one event, one meal, one weekend
#2-Keep things as they are currently. All parties plan, coordinate, and execute their own
#3-Combine all events in conjunction with the TAG Leaders weekend.
Tasking for next Committee Meeting (TBD)
-Each group Army/Air/Enlisted/Officer/NCNG Association will bring to the table everything they
believe necessary to make the event a success for their respective group (Workgroups, Training,
“Face Time”, Events, etc).
