The above named committee met on the date indicated above. The meeting was conducted via teleconference, and the following members participated:
Co-Chairmen Jim Carper and Shane Evans, John Henson, Kevin Hinton, Hank Thomas and Jay White. NCNGA Executive Director Adene Tyler also participated.
Charles Jackson, Kelly Jackson and Tom Russell were unable to participate.
Co-Chairman Carper declared a quorum present and convened the meeting at 1:30 p.m. Upon motion, committee minutes dated 29 Mar 12 were approved for the record.
- Number registered – 305
- Big “M” Casino – 44 registered ($30 per person)
- Alabama Theatre – 46 registered ($35.95 per person – we charged $27 per person.)
- Legends – 22 registered ($28 per person)
Bus transportation fell thru for Big “M” Casino. Three 15-passenger vans were reserved. Committee reviewed different options (attached) and were of the opinion that liability issue was too great to rent the vans and have our members drive them. SunCruz, another cruise line ship, offered to provide transportation for up to 35 people, which would still require us to rent a van and pay $15 additional per person for a meal.
After discussion, committee recommended that members provide their own transportation to the ship. The Association staff will contact each member registered for Big “M” Casino and let them know that we are unable to provide transportation, but will reimburse them $10 to compensate for the travel.
When Alabama Theatre was originally contacted, they did not have a show schedule at that time. Group rate quoted was $27 per person. The show for Saturday, 21 April 12, will not be a regular variety show produced by Alabama Theatre, but a country western group with Joe Diffie, Sammy Kershaw and Aaron Tippin. Alabama rents out the theatre occasionally to groups like this and the group establishes the ticket prices, which will be $35.95 per person. Committee discussed options and agreed to pay the difference of $8.95 in ticket price per person.
- No speaker during Friday business session. Secretary Young declined.
- Door prize minimum met.
- Hank Thomas will bring State flag to be used during business sessions.
- John Henson will take banners to convention.
- Tyler to update convention budget to more accurately reflect actual costs to date, and include number of “free” registrations provided.
Committee will meet at hotel on Friday, 20 Apr 12 at 12:00 noon. If you will not be able to attend then, please contact Chairmen Carper or Evans.
There was no further business to come before the committee, and the meeting was adjourned at 2:10 p.m.
