EANGUS LIAISON COMMITTEE MINUTES
The above named committee met on the date indicated on the call of Chairperson Raveena Boler. The meeting was held at the NCNGA Headquarters.
The following committee members were present: Chairperson Raveena Boler, committee members Danielle Hodges and Curley Nimmons, Mike Annas (via teleconference). NCNGA staff member Rhonda Arndt was also present. Committee members Scot Harrell and Bobby Ray were not present. Ex-officio members Bruce Pickett and Keneitha Delaney were also present. Ex-officio members John Swart and Maurice Williams were not present.
At 11:00 a.m. Chairperson Boler convened the meeting and determined that a quorum was present.
After brief introductions, the committee discussed the duties and responsibilities and then reviewed the 2011 – 12 annual report for approval. Upon motion it was unanimously approved.
The NCNGA Executive Council approved the annual budget for the EANGUS committee for $2,000.00, not the requested $2,500.00. Since we did not have a representative from North Carolina go on the site visit to California, the budgeted amount of $400.00 will be added to the Mid-Winter Caucus line item. Ex-Officio member Delaney stated that she has paid the Area II dues of $78.75. This amount was part of last year’s budget.
Staff member Arndt updated the committee on the EANGUS website and database. The website is supposed to be fully functional, but there are a few bugs that are being worked on and corrected. The database is not functional at all. At the present time, we do not know how many members we actually have. The programmers have our annual members in the 3,000 number (this is the number of people that had previously been annual members). Staff member Arndt estimates that the amount of annual members is approximately 25. Our life members may not be correct either. The EANGUS headquarters is researching this with the website/database designers. The EANGUS Executive Director, Al Garver, is in contact with the CEO of the website/database design company (In10sity) and will hopefully have a complete date soon. If someone contacts you with problems joining or renewing their membership, have them contact the National Office. They need to know of any problems or complications with the website. As soon as she can, Staff member Arndt will let everyone know the actual member count.
Staff member Arndt reminded the committee that North Carolina will be hosting the Mid-Winter Caucus this upcoming year. The meeting will be held with a late February time frame. Each committee member is urged to research for a location by contacting different hotels. Staff member Arndt has emailed a list of hotels within the Triad area (Greensboro/Winston Salem). She has also emailed a research site checklist. The criteria on the checklist are subjective to what our requirements are and what budget will allow. Chairperson Boler suggested that each member use the checklist to compile information and bring back to committee. The committee needs to have a hotel locked in and registration forms hopefully by the National Conference in August.
The National Conference will be held in Long Beach California, August 26th – 29th. In addition to our chairperson, we are allowed 2 delegates and 2 alternates. So far, there has not been any transportation set up. Ex-Officio Pickett will be contacting the South Carolina Air Wing concerning information on a possible ride to California. The committee is urged to get in touch with their contacts regarding transportation. Committee member Hodges stated she is working with a number of different people to find good quality pins at a decent price. She will inform the committee of the available options.
The next meeting has been scheduled for June 28th at 10am. This meeting will be held via teleconference. With no other business to come before the committee, the meeting was adjourned at 12:00 p.m.
